At The Wax Club, we prioritise the safety, satisfaction, and confidentiality of our clients. Please review the following policies before your appointment:
1. Client Consent and Confidentiality:
By booking an appointment with The Wax Club, you acknowledge and agree to the procedures involved in the waxing treatment. You give permission to your therapist to perform the discussed procedure and understand that neither the therapist nor their staff will be held liable for any adverse reactions.
All client details provided will be kept confidential and used solely for the purpose of your waxing treatment. Client records are stored electronically or filed manually, these are to be updated every 6 months.
Client records are kept for three years. Clients under 18 years of age, their record card will be kept until they are 18 years of age.
Informed consent will be required for intimate waxing for under 18s.
Personal details relevant to the service must be shared with The Wax Club during your booking. Relevant medical information (e.g. skin thinning medicines such as Roaccutane) relevant to the service, Client lifestyle, Client requirements, Condition of skin and hair, Limitations to service, Contra, Skin sensitivity etc.
In the case of medical referral, the waxing practitioner may keep a copy of the GP's letter with the client's records.
2. Third-Party Booking System:
We utilise a third-party booking system called Fresha, which securely handles payments. Your payment details are encrypted and protected by advanced security measures.
3. Salon Safety Standards:
Our salon room meets high safety and cleanliness standards, including full electrical PAT testing, completion of health and safety training courses, and adherence to strict cleanliness protocols. Our staff are fully trained to provide safe and effective waxing services.
4. Cancellation Policy:
We understand that plans can change unexpectedly. To ensure fairness to both our clients and practitioners, we have implemented the following cancellation policy:
- Cancellations made 24 hours or more before the scheduled appointment time will not incur any charges.
- Cancellations made within 24 hours of the scheduled appointment time will be subject to a 50% cancellation fee.
- No-shows will be charged the full amount of the scheduled service.
5. Late Arrival Policy:
Clients are expected to arrive on time for their scheduled appointments. If a client arrives more than 10 minutes late, we reserve the right to still charge for the appointment.
In the event of late arrival, we will do our best to accommodate you, but this may result in a shortened or modified service.
If the appointment cannot be completed due to late arrival, the client will still be charged for the full service booked.
6. Hair Growth Requirement:
Please arrive at your waxing appointment with adequate hair growth for optimal results. We recommend a minimum of 2 weeks of hair growth, but 3 to 4 weeks is ideal.
If you arrive with less than the recommended hair growth, the appointment will still be chargeable.
Adequate hair growth ensures effective hair removal and minimises discomfort during the waxing process.
